Availability
Places are subject to availability – this is regularly updated online and will show as ‘Call to Book’ or ‘Sold Out’ if there are changes to availability.
Booking Fees
We charge a one-off £2 fee on all bookings made online or over the phone. This standard fee is applied per booking (e.g. if you book Easter & summer at the same time you’ll only be charged the one fee). As a not-for-profit, all booking fees will help towards our administration costs and bank charges.
If you need to change the booking at a later date, an additional booking fee may be charged.
If you would like to opt for our monthly payment option, a one-off £2 fee is applied.
Cancellation charges
- Cancellations of any or all of your Kings Camps booking(s) can be made online via your account or by calling our Membership Team.
- Within 14 days of booking, you can cancel your places with no charge. If camp starts within this time period, you may still be liable to incur a cancellation charge.
- Cancellations are subject to a 30% fee, the remainder is refunded to you by the original payment method, alternatively a full credit can be given for use in the future (see Credit Notes below).
- Cancellations made within 7 days prior to the start of camp can only be made by our Membership Team, please call 0114 2632160 to discuss your booking. Please note, you may still be liable to incur a cancellation charge.
You can amend your dates prior to the start of camp free of charge (subject to availability – see Change your booking for more details). We kindly request, where possible, a minimum of 48 hours for any date changes.
Change your booking
We can make like-for-like changes to a booking at any time and free of charge, subject to availability. If your requested change involves additional costs—such as switching to a different venue—this may result in a charge or a refund/credit note. We will always inform you of the most cost-effective way to amend your booking.
Child details
At the time of booking, you agree to provide accurate information about your child so that Kings Camps can offer the appropriate support and ensure their wellbeing while in our care. Before camp begins, you will be asked to review these details and confirm that they are up to date. We request that this information is checked and updated at least once a year, or whenever there are changes to your child’s medical condition, allergies, or SEN/Disability status
Childcare vouchers (inc. Government Tax Free scheme)
We accept childcare vouchers in England for full / part payment. Payment must be received by us four weeks prior to the start of camp. A deposit of £1 will be taken from a credit/debit card at the time of booking and the balance will be deferred to a specified deadline date 4 weeks prior to the start of camp.
Any outstanding fees at the deadline date will be charged to the original payment card. Childcare Vouchers can be sent after the deadline date and any outstanding balance will be reduced or full payment will be reimbursed retrospectively, up to 12 months after your child attended Kings Camps.

Children from overseas
We welcome families from outside the UK. For a child’s safety and welfare we ask they have a basic understanding of the English language.
A child must be able to communicate their needs and understand instructions from our camp staff. If we determine that a child’s health or safety is at risk due to limited English language skills, we may require them to be collected from camp, with no refund or compensation provided.
Circumstances Beyond Our Control (Force Majeure)
We reserve the right to cancel any Kings Camps place, at any time, and with any notice period, in the event of circumstances beyond our control preventing us from operating camp as we planned. This clause applies to the cancellation of any and all Kings Camps booking made.
If a forced closure results in a change to your package (e.g., from a 5-day to a 3- or 4-day package), any refund will be calculated based on the difference in package price, not on a pro-rata daily rate.
In the event of the cancellation of a Kings Camps booking due to a circumstances beyond our control, we reserve the right to review and amend our refund policy.
Credit Notes
When a credit note is awarded, this is valid for 12 months unless otherwise specified or authorised. Credits must be redeemed by the expiry date; however, the camp itself can occur after this date, provided the booking is made before the credit expires. To apply the credit to your booking, you must contact the membership team.
If you have credit on your account from a previous year and choose not to use it, our standard cancellation policy will apply. Exceptions to this include situations where Kings Camps is no longer running at a location, there has been a change of venue, we no longer offer a programme for your child’s age, or you have moved and there is no local Kings Camps available.
When an edit is made to a booking and there is an outstanding balance, any credit on file will automatically be applied to reduce the balance. The credit held on file will also be adjusted accordingly.
Discounts and offers
Our Early Booking discount is applied on all bookings made before the end of February. Group and multi-week discounts are also available. Discounts cannot be used in conjunction with one another. Please note discounts cannot be added to a booking retrospectively, other than within the first 14 days of booking.
Discounts and discount codes cannot be applied to any place which has been subsidised by Kings Camps or partners.
New venue discounts: the discount at new venues will only be offered for the first year that we’re running in that location. If a venue is new this will be specified on the venue page.
Promotional offers: All standard booking terms and conditions apply. We will provide specific Ts and Cs via email, post online for promotional offers.
Any offers can be withdrawn at any time, whether they are time restricted or part of a wider campaign.
Donations
Whether donations are collected at the end of the booking process via checkout, or through our Donations page, these are separated from all other income or revenues and are allocated specifically and only for our Supporting Families programme. Find our full donations policy here.
Donations will not be refunded. If a refund is requested for a donation that’s been made, the decision is purely at our discretion and this would need to be raised with Kings Camps Membership Manager in writing to info@kingscamps.org.
Exclusions
We reserve the right to exclude or refuse any person at any time prior to and during the camp, both adults and children, if, in our opinion, that person is incompatible with the general safety and well being of the camp. We may also refuse entry to a camp if we are unable to safely accommodate a person’s needs.

Flexible Booking
Flexible booking is available on our Multi Active programme only. You must select a minimum of any 3 days in a calendar week.
Flexible booking is not applicable to the Rookie Academy programme, Military camps or any subsidised places.
Friends requests
We’re unable to guarantee friend requests as we must ensure we fulfil staff-child ratios. A request can be made prior to the start of camp for children of the same age.
Gift Vouchers
Gift vouchers can be purchased here. We offer £10, £25, £50, £100 and £250 denominations and the e-vouchers are emailed at the time of purchase.
Please note that gift vouchers are valid for the time period shown in the description on our gift voucher webpage.
Gift vouchers can be used towards a Kings Camps booking; if the total of the booking is less than the voucher amount – the remaining balance will be held on account as ‘credit’.
All gift voucher purchases are final and non-refundable. A full refund will be given if Kings Camps is no longer running, where there has been a change of venue, if we no longer offer a programme for your child’s age or if you have moved and there is no Kings Camps local to you.

Refunds
Any refund given for a Kings Camps booking would be issued in line with our cancellation charges (as above).
Refunds will not be issued in cases of injury, illness, or if a child is removed from camp due to behaviour.

Single Payment
The whole cost of the camp is taken by credit or debit card when booking by phone or via our website.
Staged Payments
We offer monthly payments if you are booking well in advance of the start of camp. If you wish us to debit your card over a few monthly instalments rather than in one lump sum, you can chose this at the time of booking. There is an additional £2 booking fee for this service where available. All payments must be completed by the start of camp. An initial payment of 30% of the total amount is taken to secure the booking.
Subsidised place (Supporting Families Applications)
Subsidised places are only confirmed once payment has been made or a payment plan has been approved by the programme lead in the membership team. Camp fees must be paid in full before the start date of the booking unless prior approval has been obtained from the membership manager. Subsidised places cannot be carried over into a new calendar year and are limited to a maximum of three weeks per year, with no more than two weeks allowed per camp season.
As a not-for-profit, we rely on donations to support our work. From time to time, we may need to adjust or withdraw funding offers. If that happens, we’ll always do our best to communicate any changes with you clearly and as soon as possible.
Waiting lists
If the camp you require is fully booked, you can be placed on a waiting list and in the event of any cancellations we’ll notify you. Places will be available on a first come first served basis.
