Guide to completing a Disclosure Check

Child welfare is our number one priority and we expect all Kings Camps staff to share our commitment to safeguarding. All staff must therefore complete an enhanced disclosure check for the position. This is an essential part of the process, without which you will not be able to work and other staff may be given hours in your place until this is completed.

I have a current DBS certificate registered with the DBS Update Service

If you are unsure if you’ve registered on the update service, check your subscription by logging into your account. If you can’t log in it’s likely you didn’t register and will need to apply for a new DBS with Kings Camps.

I need to apply for a new DBS check through Kings Camps

I am a Scottish Resident and I am a member of, or need to join the PVG Scheme with Disclosure Scotland

I have a current DBS certificate registered on the DBS Update Service

If you have a live, active registration with the Government DBS Update Service, great! For us to accept this DBS and perform an update status check online you must:

  • Have a copy of your original enhanced DBS certificate
    • The original must be for a paid role with children (we cannot accept volunteer DBS certificates)

To perform your update check online, we will need to see:

  • Proof of your identity (see Stage 1)
  • A physical copy of your original DBS certificate (see Stage 2)
  • Your written permission to perform the update check online

Stage 1 – Confirm who you are (Identity Check)

We have to confirm your ID in order to perform a disclosure check. We have camps across the UK and we appreciate that not all staff can visit our Sheffield office, so we work with Yoti, a digital identity checking company.  

You’ll need to have both of the following with you:

  1. Your in-date UK or Irish passport OR your in-date non-UK ePassport or non-chipped passport
  2. An in-date UK or Irish driving licence – full or provisional (please ensure the address on your driving licence is your current registered address, if not – you must contact us to confirm what documents you can use to show your registered address)

Yoti will provide step by step instructions to help you complete your ID check. Once completed, we’ll review the results and contact you if further details are needed.

If you do not have both documents you cannot use the Yoti checking service. Please contact onboarding@kingscamps.org and ask for an alternative ID check and read Appendix 1.

Stage 2 – Post your original certificate and permission

Once your ID check has been submitted, send your original DBS certificate to us in the post (this must be the certificate you registered on the update service). We recommend sending it signed for or recorded delivery so it can be tracked, to:

You’ll need to include a short letter signed and dated by you stating: ‘I give permission for Kings Camps to perform a DBS update check on my personal information’.

Stage 3 – Update Issued

We will complete the update status check online and save the results on file.  We will contact you only should we need to discuss the information on the certificate. We will return your certificate to the address on your Kings profile, unless you state otherwise in your letter. (Please ensure your address is up to date on your profile)

I need to apply for a new DBS check through Kings

Checks can take time to process, so please complete these actions as soon as possible to prevent a delay to your start date.

Stage 1 – Pay for  your Disclosure Check

  • All our DBS applications are processed by Care Check and the cost is £54
  • Please click  here to make your £54 payment via credit/ debit card

Note: Kings will cover the cost of an initial DBS application for Voluntary, Site Manager and Regional Manager positions.

Stage 3 – Apply for your DBS online

Email us at onboarding@kingscamps.org to confirm you have completed stages 1 and 2. You’ll receive an email invitation to apply for your DBS online with ‘Care Check’.

The application will take around 20 minutes and you must have the following with you:

  • 2 valid forms of ID (see Appendix 1 below)
  • Your National Insurance Number
  • Your address history from the last 5 years, including student addresses. (If you are a student with a term time address, you must include this in your application. Addresses should overlap so there are no gaps in address history. Your ‘present’ address is where the DBS certificate will be posted to, and this address should match your ID documents that show your registered address e.g. driving licence).   • Middle names/ previous names must be declared on the form

Stage 4 – Certificate Issued

Care Check will process your DBS application and your certificate will be issued directly to you in the post. We will also receive a copy of the result for a final recruitment decision. We will only contact you if we need to discuss the information on the certificate. You must keep your DBS certificate safe for your own records.

Stage 5 – Register on the DBS update Service

We strongly recommend signing up to the DBS Update Service (£13 annual subscription) so that your DBS check may be used with Kings and other employers in the future. You only have 30 days from the issue date on the certificate to register a New DBS on the update service, after that time you cannot register. More information on the update service can be found at DBS-update-service. (You do not sign up with us, or pay us for this service.)

I am a Scottish Resident and I am a member of, or need to join the PVG Scheme with Disclosure Scotland

Scotland follows the PVG Scheme for disclosure checks. This is established by the Protection of Vulnerable Groups (Scotland) Act 2007. When you undertake regulated work with children for the first time you need to join the PVG Scheme. Joining the PVG Scheme costs £63.

If you have already obtained a PVG Scheme Record from another organisation, you need to apply for a PVG scheme record update with us so Kings can be added to your PVG scheme membership. This costs £22.

Stage 2 – Pay for your Disclosure Check

Your disclosure application cannot be processed until you have paid. Please use the relevant link below to pay via credit/debit card

Please note, Kings will cover the cost of PVG updates for Voluntary, Site Manager and Regional Manager positions.

Stage 3 – Complete your online PVG form

Email onboarding@kingscamps.org  to confirm you have completed stages 1 and 2. You’ll receive an email invitation to apply for your PVG online.

    • Your existing PVG Membership Number (if you’re already a member of the scheme)
    • 2 valid forms of ID (see Appendix 1 below)
    • Your National Insurance Number
    • Your address history from the last 5 years, including student addresses. (If you are a student with a term time address, you must include this in your application. Addresses should overlap so there are no gaps in address history. Your ‘present’ address is where the DBS certificate will be posted to, and this address should match your ID documents that show your registered address e.g. driving licence). 
    • Middle names/ previous names must be declared on the form

Stage 4 – Certificate Issued

Once you have completed and submitted your details, Disclosure Scotland will process your PVG check and the certificate will be issued directly to you in the post. Please note that we will also receive a copy of the disclosure for a final recruitment decision. We will contact you only should we need to discuss the information on the certificate, otherwise please keep your certificate safe for your own records.

Appendix 1: List of alternative Identity Documents

If you cannot do the Yoti digital ID check (using an in-date passport and an in-date UK/Irish driving licence) you will be asked to produce 3 documents in total for a video call ID check instead, then you will show these 3 documents on camp.  

So you are ready for the ID check, please gather these 3 documents. 

One or two documents must be from Group 1, plus one or two other documents from Group 2. (3 documents in total) 

At least one document must be photographic e.g. in-date passport, or in-date driving licence showing correct address. One document must confirm your current, registered address and at least one document must confirm your date of birth. N.B: Internet generated documents are not acceptable, documents must be physical, original documents – we cannot accept photocopies or photos.

If you have a valid Passport and/or a valid Driving Licence, you must select these as one and/or two of your three identity documents.

Group 1

· Passport – Any current and valid passport

· Biometric residence permit card – in date, showing UK residence

· Current driving licence photocard – (full or provisional) – UK

· Original UK Birth certificate – official document, issued within 12 months of birth

· Adoption certificate – UK

Group 2

· Marriage/Civil Partnership Certificate – UK

· Posted Financial Statement – e.g. pension, endowment, ISA (issued within past 12 months)

· Adoption Certificate (UK)

· P45/P60 Statement (UK) (issued within past 12 months)

· Posted Bank/Building Society or Credit Card Statement (issued within past 3 months)

· Posted Utility Bill – electricity, gas, water, telephone (landline only) (issued within past 3 months)

· EEA National ID card – Must still be valid

· Posted Council Tax Statement (UK) (issued within past 12 months)

· Work Permit/Visa (UK) (issued within past 12 months)

· Posted document (issued within past 3 months) from Central/ Local Government/ Government Agency/ Local Authority giving entitlement (UK) e.g. from the Department for Work and Pensions, the Employment Service, HMRC, Job Centre, Job Centre Plus, Social Security.


Appendix 2: I do not have the required documents for a digital ID check 

If you do not currently have an in-date passport and in-date UK or Irish driving licence we will complete a video call ID check instead. 

To start this process, please email clear photos of the 3 x ID documents from Appendix 1 to onboarding@kingscamps.org 

We will review your documentation and arrange a video ID check with you which will take around 15 minutes. You will be asked to hold up the ID documents on camera.

Important: You will then need to take all of the ID documents shown on the call, in to camp, as the Manager will need to log that they have seen them on your first day.
