Kings Camps Expenses
Kings Camps are a not-for-profit that have a vision of a world where children love being active. We’re a little different to commercial organisations as our income contributes directly to our vision and charitable objectives.
Since we were formed in 1991, we’re really proud to have provided assisted places to more than 10,000 children and families in a range of difficult circumstances.
With this in mind, we don’t have large expenditure budgets so we work to an expense contribution policy, which means we can’t cover all expenses, but it does mean we can support you whilst giving back to as many families and communities as possible.
Below therefore are our broad principles on expense contributions:
Travel
If you’ve been asked by our team to work at a venue that isn’t your closest venue, or your first preference, we may agree to contribute to your travel as part of the offer.
If you’re driving, we’ll agree a contribution in writing but don’t forget you can claim up to 45p per mile back through HMRC here.
If you’re taking public transport, you’ll need to research ticket costs and share them with us in advance – we’re keen to agree a contribution before you make the booking.
Remember you can get up to a third off the price of rail/bus tickets by using a railcard. If you don’t have a Railcard, we recommend you purchase one here, it won’t be long before it pays for itself.
You’ll need to keep copies or screenshots of tickets and send these to us as proof of purchase.
Accommodation
If we’ve asked you to work away from home, you’ll need to communicate any reasonable adjustments you require.
We always source accommodation that’s safe, clean and we aim to provide free Wi-Fi and free parking where possible, but if you require other arrangements, such as being walking distance to the venue, you’ll need to let us know when you accept the offer of work.
Where possible, we will arrange for you to stay in self-catered accommodation (such as an AirBnB) in a single room. Sometimes however you may find you are accommodated in a hotel so will not have direct access to cooking facilities. Occasionally you may be asked to share a twin room with a colleague of the same sex.
If you’re staying on site with us at one of our Military base partnerships, you’ll receive an email with specific details of these assignments, including details of where you are staying, where you can dine and arrangements to enter and leave the base securely.
Food
If you’re working away from home, we encourage you to take dry snacks with you. We’ll also provide you with a contribution towards your weekly food shop in the form of food vouchers for the closet convenience store to your accommodation.
Payments
If you’re expecting a contribution to your expenses, please note these will not appear on your payslip as they’re paid separately to wages. All expense contributions will be paid after your first day of work, unless agreed otherwise.
Pay Slip
Your pay slip will be sent to you via email, please note these sometimes go into your Junk Mail or Spam folder, so please ensure you check your emails for an email from ‘Landin Wilcock’.
Pay slips are password protected – but don’t worry, this is your surname and year of birth, as per the information you provided on your profile e.g. Smith1998 – you will need your password to open and view your pay slip.
If you have any queries, please email finance@kingsactive.org with your query, along with details of your concerns, so that we can investigate. Please be aware that HMRC issue tax codes and decide on tax levels, including emergency tax, we are unable to help with that matter.
